Writing tips for event releases
- 1Date, city, and venue belong in the first paragraph. A reporter who has to scroll for the date won't.
- 2Name the two or three most compelling speakers or attractions, not the full program — link to the agenda for the rest.
- 3Give media a reason and a route to attend: press passes, interview availability, photo opportunities.
- 4For local events, localize the lead: what this brings to the city (visitors, jobs, spectacle) is the local angle.
- 5Send 2–3 weeks ahead for news coverage; calendar listings often need 4–6 weeks.

How far in advance should an event press release go out?
Two waves work best: an announcement 4–6 weeks out (catches calendar listings and planning desks) and a reminder with final speakers or news 1 week out. Single-release budgets should aim for 2–3 weeks ahead.
What details are mandatory?
Date and time with timezone, venue with address (or platform for virtual), price or "free", and the registration URL. Missing any one of these is the most common reason event releases get no pickup.
Should we offer press passes?
Yes, and say so explicitly in the release with a contact for credentials. Journalists attend events they can access; a line like "media passes are available via [email]" costs nothing and signals professionalism.
Is a post-event release worth sending?
If you have numbers (attendance, funds raised) and photos, absolutely. Outlets that couldn't attend will still run a results story with a strong image — use the recap template within 48 hours while the event is current.
